Module 006: Bulk Loading and Export Operations

Introduction

Bulk Upload is the operation that allows you to create or update large volumes of products in Loolu PIM using a structured Excel file. The process is divided into 5 key phases: from obtaining the correct template to verifying the successful upload to the system.

Phase 1: Download the Updated Template

To avoid structural errors, you should always work on the most recent template version of the system.

  1. Go to the Import/Export module — in the side menu of Loolu PIM.
  2. Apply filters (Optional but recommended)— If the database is very large, filter by Category or other criteria before exporting. This will make the file smaller and process faster.
  3. Click on Search and then on Download All (or Download).
  4. Go to the History tab— to monitor the generation of the report:

  • In ProcessYou will see a new download line. The waiting time will depend on the volume of SKUs and specifications.
  • FilledYou will receive a notification in your institutional email and the download icon will be enabled in the Download column.

⚠️ SUPPORT

If an old report remains stuck in "In Process" status, it can block your new requests. In that case, submit a support ticket through the Loolu PIM portal to release the processing queue.

Phase 2: Data Filling and Editing (Excel File)

When you open the downloaded document, you'll see tabs like Brands, Categories, Prices, and Inventory. Focus primarily on the Products tab.

Golden Rule: Create or Update?

Loolu PIM automatically determines the action to perform based on the value in the Product ID column:

It is left blank or a non-existent ID is entered in Loolu PIM.

The system creates a new product and assigns it an automatic folio number.

Update

A product ID that already exists in Loolu PIM is entered.

The system only modifies the fields that have changed in the other columns.

Critical Columns and Their Configuration

ℹ️ HOW TO READ THE TEMPLATE

Fields displaying (OPTIONAL) or (READ ONLY) in their header are not required to complete the upload. Fields without either of these labels are mandatory and must be completed for the system to process the row correctly.

Phase 3: Uploading the File to the Platform

Once you have saved the changes to your local Excel file:

  1. Return to Loolu PIM— Import/Export section → Products tab.
  2. Click the Attach File button.
  3. Select the edited Excel file from your computer.
  4. Press the Upload button.

Phase 4: Monitoring and Error Identification

  1. Go directly to the History tab.
  2. Monitor the process— You will see a new line of type "upload" with the status "In Process". Please wait until the system finishes processing the document.
  3. Check for errors— If the system detects incidents, an additional file will appear in the Download column identified as Update Response when you hover over it.
  4. Download and read the answer file— Open it and scroll to the last column, titled Comments. There the system details row by row what went wrong.

  • Example"The launch date column does not have a valid format" or "The product URL already exists."

  1. Correct and retry— correct the errors indicated in your original file and repeat the Phase 3 upload process.

Modify the product URL to a unique one and upload it again.

Check if the intention is to update (keep the ID) or create a new one (leave the field blank).

The product already exists on VTEX.

The e-commerce product ID (col. Z) is already registered in VTEX. Use a different ID or leave the field empty.

Phase 5: Validation of Success

You'll know the upload was 100% successful when the History tab shows your upload log completes without generating a second response file with errors. To audit it manually:

  1. Copy the product ID— takes the ID of one of the items you created or updated in your Excel file.
  2. Go to the main Loolu PIM product search engine.
  3. Change the search filter to Product ID (optional)— paste the code and press search.
  4. Verify the information— Log into the product and confirm that the data in Loolu PIM exactly matches the data in the bulk upload file.

✅ SUCCESSFUL CHARGE

If the upload was successful, only the original file (1 download icon) will appear in the history. The absence of an Update Response file is the definitive sign that all records were processed without errors.
