Module 002:First Steps and Initial Setup
2.1 Access to the Platform and Authentication
Access to Loolu PIM features a two-step security flow (token authentication / dynamic link):
- Home Screen— Enter your institutional email address and password. Click Sign In.
- Security Filter (Magic Link)The system will send a verification email. Open your inbox, find the email from Loolu PIM, and click the "Sign In to Loolu" button.
- Confirmation— You will be redirected to a tab where you will need to re-enter your email address for security reasons. Click Verify to access the Dashboard.
ℹ️ NOTE | The Magic Link is a one-time-use link and has a limited validity period. If the email is slow to arrive, check your spam folder before requesting a new one. |
New User Registration ("Users" Menu)
Administrators can invite external or internal collaborators by configuring the following parameters in the Create User form:
Parameter | Description |
Basic Data | Collaborator's name, surname, and email address. |
Profile | Define the role within the system (Super Admin, Security, Read Only, etc.). |
Vendor (Supplier) | If the selected profile is of type Vendor, a selector will be displayed to associate this user with a specific provider. |
Approval Profile | Defines the user's authority level to approve or reject changes to products and new catalog creations. |
MFA | Switch to force the user to log in using a code sent to their cell phone (Multi-Factor Authentication). |
Is Federated User? | Enable single sign-on (SSO) using the company's corporate email. |
2.2 Navigating the Interface
The left sidebar contains the Loolu PIM modular ecosystem. The visibility of these menus adapts dynamically based on the user's role and permission profile.
The Intelligent General Search Engine (Top Bar)
It allows you to locate products using multiple cross-referenced criteria. It features an advanced configuration system:
- Supported CriteriaProduct Name, Product ID, SKU, Reference Code, EAN or Product URL.
- Filter SettingsBy clicking the search gear icon, you can turn variables on or off. For example, if you turn off everything except "Name" and enter "guitar," the system will clean the catalog and only show products with that exact word in their title.
- Search CleanupClick the "X" icon to reset the catalog overview.
Summary of Menus and Key Modules
The following table describes the main modules accessible from the sidebar:
Module | Description |
Dashboard | Analytical summary of content health status. Includes a Merchant Selector (Mexico, USA, Marketplace) to segment performance by country or channel. |
Brands, Facets y Warranties | Merchant-level configured modules (region-independent). They allow you to create, edit, and structure brands, facets, and warranty policies for items. |
Vendors (Suppliers) | List of companies that manage catalogs in the e-commerce platform. Control their associations at the product, category, and brand levels (e.g., associate the Coca-Cola supplier with its corresponding products). |
Categories (Category Tree) | Displays categories in a nested (Parent-Child) fashion. Allows for unlimited child subcategories, simultaneous association of multiple facets, and the creation of new classification branches. |
Collections | Logical product groupings for campaigns. Allows you to add SKUs in bulk to a collection, rename it, or delete it. |
Assets Management | Centralized repository of multimedia files (manuals, instructions, large images) organized into folders. Displays critical metrics such as file size, percentage used, and server space consumption. |
Audit Module: Change Log
Accurately monitor the PIM change history using three tabs: Products, Users, and AI Logs (changes automatically generated by Artificial Intelligence).
- Complete traceability: displays the email of the user who performed the action, the affected SKU, and the exact date of the change.
- Technical detailsClicking on any row opens a side panel with a full JSON file (Full log history) detailing the previous values and the new values saved.
Query Module: User Permissions
This is a purely informational view for the active user. It graphically displays a matrix of what their current role (e.g., Super Admin) can do—Read, Create, Update, and Delete—module by module.

2.3 User Preferences: Light/Dark Mode and Language
These options are controlled from the top right corner, by clicking on your profile email:
- Interface LanguageNext to the email address, you'll see the language selector (EN/ES). Changing it will instantly translate the entire platform to improve readability for the user.
- Light / Dark ModeWithin the profile dropdown menu, you'll find the button to toggle visual styles. Switch from a dark background to a light background with a single click, depending on your viewing comfort.
2.4 Managing "My Account" and Password Recovery
To securely change access credentials within the PIM:
- Expand the profile menu— select Change Password (or Change your password).
- Create a new password— the system will validate that the new key meets the following minimum requirements:
- At least one number.
- At least one capital letter.
- At least one lowercase letter.
- At least one special character (e.g., !, @, #, $).
- Recent authentication required— Because this is a highly sensitive operation, Loolu PIM requires the user to have a recent session. If the system detects that you have been logged in for a long time, it will block the change, displaying the alert: "This operation is sensitive and requires recent authentication."
- Re-authenticate if necessary— Manually log out, log back in with your Magic Link, and go directly to the password update. The system will confirm success with the message: Password successfully updated.

⚠️ WARNING | Do not use the "Forgot Password" button from the home screen if you still have access to the platform. Always use the Change Password option from your profile to avoid invalidating your active session. |
